Greenhat Services Pty Ltd (ACN 087 716 381) ("Greenhat") is a professional services company specialising in the design, development and hosting of websites and related software and website code for use by individuals, companies and organisations. Greenhat also specialises in AWS cloud services including, IT infrastructure design/implementation/management, application migration/modernisation/acceleration, and other related cloud services using the Amazon Web Services (AWS) global network.

This Privacy Policy has been created to express our commitment to protect information provided by users. Greenhat is aware of the current trend towards communications and distribution of information, and we have established protocols and security measures to keep your information protected from mischievous use, as far as reasonably possible.

The practises and policies described herein apply to all users of Greenhat. Each time you visit the website and use any of our services you are, by doing so, accepting the practises and policies described below. You agree that by using the products, services and website of Greenhat (together being the “website”) you are expressly and affirmatively consenting to our use of information that you have provided. Greenhat will only use that information for the purpose of providing the services mentioned on the website, together with periodically providing you information on its products and services.

Collection of Personal Information

For the purpose of operating the website effectively and providing the services described in the same, Greenhat may collect personal information from its users. Generally, we will inform you of the use of the information and provide optional fields to information that is not mandatory by the system.

The information requested from individuals will only be used to provide you with Greenhat’s services, which may include providing you access to courses, videos, content and assessments; obtaining feedback about courses, videos, content and services; advise you of upcoming events; administer and manage your profile; further develop and improve our business and educational systems; and inform you about new products and services that we may introduce from time to time. If you choose not to provide certain information, Greenhat may be unable to register you as a user or member; or provide you with certain products and services.

Your personal information will be held by Greenhat for a period up to 5 years.

Disclosure of personal information

For the purposes set out above, we may disclose your personal information to the following:

• Service providers who assist with managing the services we provide to you including information technology, educational services, marketing, and debt recovery.
• Organisations involved in the transfer/sale of all or part of our assets or business.

Any person or organisation that collects information on behalf of Greenhat or to whom personal information is disclosed as described in this procedure will be required to not use or disclose the information for a purpose other than the purpose for which the information was collected by them or supplied to them.

Affiliate access

Our affiliates and other third-party service providers, which may include content & services providers, customer relationship, content management and hosting services, may also be given access to some or all of the above information for similar purposes. For example:

• Third-party content providers may have access to names of learners registered in their courses;
• Hosts of group and networking services may have access to the names of participants;
• Support and implementation partners may have access to information we collect for the purpose of assisting us deliver, support and develop our services and systems.

All such third-parties are bound by laws and regulations, wherever they are located in the world, and are required adopt and apply data protection policies and practises that are consistent with this policy.

Security and integrity of personal information

Greenhat is committed to ensuring the confidentiality, security and integrity of the personal information it collects, uses and discloses.

Greenhat will take all reasonable steps to ensure that any personal information collected is relevant to the purpose for which it is was collected, is accurate, up to date and complete.

Greenhat will store securely all records containing personal information and take all reasonable security measures to protect personal information it holds from misuse, interference, loss, unauthorised access, modification or disclosure.

Where Greenhat has no further use for personal information for any purpose disclosed, or is no longer required to maintain that personal information, all reasonable steps will be taken to destroy or de-identify the information.

Right to access and correct records

Individuals have the right to access or obtain a copy of the personal information that Greenhat holds about them. Requests to access or obtain a copy of personal information must be made in writing. There is no charge for an individual to access personal information that Greenhat holds about them; however Greenhat may charge a fee to make a copy. Individuals will be advised of how they may access or obtain a copy of their personal information and any applicable fees within 10 days of receiving their written request.

If an individual considers their personal information to be incorrect, incomplete, out of date or misleading, they can request that the information be amended. Where a record is found to be inaccurate, a correction will be made as soon as practical. Where an individual requests that a record be amended because it is inaccurate but the record is found to be accurate, the details of the request for amendment will be noted on the record. There is no charge for making a request to correct personal information.

International data transfer

As Greenhat operates internationally, personal information of users may be transferred across national and continental borders. Within Greenhat, such transfers are governed by internal controls and rules, consistent with this policy and the relevant legislation and regulation, including the GDPR.

Greenhat utilises Amazon Web Services (AWS) in its operations and to process and transfer data.

Amazon.com, Inc. (AWS) is certified under the EU-US Privacy Shield, which means that Greenhat can transfer personal data from the EU to the US in a compliant way. These certifications can be found at the EU-US Privacy Shield website: https://www.privacyshield.gov/list

IP Addresses

Greenhat web servers collect your IP address to assist us maintain the quality of the services provided and to be able to diagnose any problems with the system. The information collected is aggregate only and cannot be associated with your private information.

Cookies and log files

We allow limited use of various technologies to collect and store information when users visit our website. This may include using cookies (i.e., a string of unique data that a website stores on a user’s computer and that the user’s browser provides to the website each time the user returns) or similar technologies to identify the user’s browser or device. This helps us optimise our users’ experience and continually improve and tailor our products and services for users.

While users may set their browser to block all cookies or to indicate when a cookie is being set, it is not a recommended practise as it may restrict your access to our services.

Where an individual believes that Greenhat has breached a Privacy Principle in relation to that individual, they may lodge a complaint using Greenhat’s grievance handling procedures.

You are able to access and modify your private information at any time (unless the website is out of service). We encourage our users to frequently update and maintain their personal information. If you are having any problems with editions and updates, send an email to our support team.

Your login username and password are unique and will not be distributed to any other party. Greenhat will confirm your username and password via email upon registration; it is your responsibility to keep it from others.
